These terms and conditions outline the rules and regulations for the payment of the participation fee and housing at the university’s dorms used to attend Young Researchers in BioSciences International Symposium (further named as YRBS 2020), organized by Students for Nature Organisation (Organizatia Studentilor pentru Natura, Republicii Street no. 44, Postal code 400015, CIF (Tax identification number) 21422601, in Cluj-Napoca, Romania, July 22-25, 2023. The YRBS 2023 Official website is located at https://www.yrbs.ospn.ro.
Art. 1. These general terms and conditions will be applied to all participation fee packages and housing at the University’s dorms sold through YRBS 2023 OFFICIAL website https://www.yrbs.ospn.ro.
In this document, the following terms will mean:
Buyer: The young researcher (35 or below years old) who wants to attend the conference.
Seller: Organizatia Studentilor pentru Natura, located in Republicii St. no. 44, Postal Code: 400015, CIF (Tax identification number) 21422601, Social shares 760 RON, Cluj-Napoca, Romania. Tel.: +4 0724 414 749, Email: contact.yrbs@gmail.com.
Participation fee: the fee that each participant wishing to attend the conference is required to pay according to the current study level.
Housing fee or accommodation fee: the fee that each participant who opted on the registration form for accommodation at the University’s dorm during YRBS 2020 is required to pay.
Symposium or YRBS 2023: will always refer to Young Researchers in BioSciences International Symposium.
Active participant – refers to any participant who will present a paper (either oral or poster presentation)
Attendee – refers to any participant who takes part in the event but is not actively involved in presenting a paper
Volunteer or organizer – refers to any participant who is actively involved in organizing YRBS 2023.
Art. 2. Participation fee for the International Symposium Young Researchers in BioSciences 2023 is 100 euros for BSc and MSc and 150 euros for PhD and Post-Doc.
Accommodation will cost an extra 50 euros. We do NOT offer fee or travel grants*. Students from Babeș-Bolyai University will have a 30% discount (documents to certify your status as a BBU student will be necessary). *We can recommend different institutions that offer travel grants.
Art. 3. There are three payment options:
- Banking transfer – directly from your bank or your internet banking account into the following bank account, on the name of “Organizația Studenților pentru Natură”, Republicii Street no. 44, Cluj-Napoca, România.
• R024BTRLEURCRT0297391401 – EURO, Swift code BTRLRO22 - PayPal – at “Specifications” you have to mention: • Name of the person/people for whom the payment is made • Participation fee for the YRBS International Symposium • If you have opted for accommodations, please mention this too when making the payment
Art. 4. Conference Registration Policy
General Information: One registrant can submit up to 2 abstracts for consideration. The abstracts should be formatted as indicated in the Registration page (Fee and Registration). Submitting abstracts will not guarantee acceptance. A registrant cannot give more than one oral presentation.
After Registration and Submission the Abstract, the abstract will be evaluated by the Scientific Advisory Board and accepted abstracts will be announced to registrants in order to pay the participation fee.
Art. 5. Cancellation and Refund Policy
The participant who already pays the participation fee, respectively accommodation and/or trip fee can any time and by any reason to cancel his/her participation in the event by sending an e-mail to contact.yrbs@gmail.com explaining the reason for cancellation and refund will occur as follows:
Registrations sent after the deadline will not be taken into consideration. The participation fee has to be paid in 10 days only after an acceptance email was sent. The participation fee is not refundable, except for objective reasons.
Reimbursement of the fee for participation in the symposium is 50% for objective reasons (not granting visas, delays in means of transport etc.) We do NOT provide health and/or life insurance. Each participant needs to make their own health insurance.
If you need a visa, please take into consideration that there are some procedures that might take up to one-two weeks to obtain it so please contact us if you need an invitation letter.
- Cancellation until June 12, 2023: refund minus an administration fee of 20%;
- Cancellation until July 1, 2023: 50% refund;
- In case of cancellation after July 1, 2023, no refund is possible.
Art. 6. Privacy Policy & Personal Data Security Policy
We use your data to provide and improve the Services related to Conference. By using the https://www.yrbs.ospn.ro OFFICIAL WEBPAGE, you agree to the collection and use of information in accordance with this policy. Unless otherwise defined in this Privacy Policy, terms used in this Privacy Policy have the same meanings as in our Terms and Conditions, accessible from https://www.yrbs.ospn.ro/terms-and-conditions/
